F.A. Gilfillan Award for Distinguished Scholarship in Science
Recognizes distinguished scholarship and scientific accomplishments by faculty members in Science. Special consideration is given to candidates with distinguished research careers.

Milton Harris Award in Basic Research in Science
Recognizes exceptional achievement in basic research by honoring an outstanding faculty member in the College of Science. Special consideration is given to recent research that was carried out at OSU and that will have a significant impact on its field.

Dean’s Early Career Achievement Award
Recognized exceptional achievement in research and education by an early-career tenure-stream faculty member.

Outstanding Faculty Research Assistant or Associate Award
Recognizes an individual Faculty Research Assistant, Associate, or Senior Faculty Assistant or Associate with a career record of outstanding job performance and contributions.

Gladys Valley Award for Exemplary Administrative Support Recognizes outstanding job performance and dedication by a College staff person to the individual’s Department and to the College.

Minor DEFN: Under age 18 and not an enrolled OSU student.

We don’t need to validate age although most waivers include a self-authorization of age (over 18) under the signature section.

Youth program DEFN: (1) An event or program where participating individuals are under the age of 18 and not enrolled college students.  (2) The event / program is oriented towards minors or inclusive of minors who are not enrolled OSU students and unaccompanied by a parent / guardian.

Scenario: We host U/Gs from other schools for internships of limited duration, some of them who are minors.

• This is not considered a “youth program” so does not require registering at youth.oregonstate.edu.
• No parental consent required since they are undergraduates at another institution.  Youth Safety & Compliance office is still looking into this but this is their best guidance now.
• Depending on activities at the event, OSU Risk Services should be consulted for whether Waivers of Liability, Acknowledgement of Risk forms or Certificates of Insurance are required.   Since this is an internship, please also work with OSU Risk Services to determine if the “Conditions of Volunteer Service” form is also required.

Scenario: We host weekly campus tours where minors might come on the tour by themselves.

• This is not considered a “youth program” so does not require registration at youth.oregonstate.edu.
• If the tour is targeting a pre-college audience though, then the activity should be registered.
• If a minor presents on the tour and they are without a parent or other authorized adult (i.e. guardian or school teacher) then, a parental consent form would be recommended.

Scenario: We visit high schools to talk to them about Science at Oregon State.

• The school being visited would be responsible for any parental consent forms if any are required (e.g. if we are doing some activities of risk or where OSU personnel will have direct access without a teacher present).  If activities of this sort are going to be done, we should also have OSU risk waivers in addition to the school’s parental consent forms to make sure OSU’s liability is covered.

Scenario: We have high school (and possibly younger) students that visit us at Oregon State to participate in a variety of events – some where they are just listening to lecture to other events / programs where they are participating in experiential learning.

• This event would be considered a “youth program” and would need to be registered atyouth.oregonstate.edu.
• This would require some form of parental consent form for the trip to OSU initiated by the student’s school (preferred) or OSU.
• Depending on the nature of the activities the students are participating in, this may require OSU Waivers of Liability or OSU Acknowledgement of Risk forms. The Youth Safety and Compliance office is still working on the question of what minor can and can’t do but for now are relying on expertise from OSU Risk Services, the Colleges and EH&S.

Off-Campus Move Out Donation Drive

• What: OSU Community Responsibility and Belonging, Republic Services, and local nonprofits are partnering to maintain the cleanliness and livability of our community, and to help off-campus students responsibly donate and recycle unwanted items.
• When: Various short shifts are offered between 10am and 4pm, Friday, June 14th.
• Where: Grace Lutheran Church Parking Lot (Harrison St. and Kings Blvd.)

Res Hall Move Out Donation Drive

• What: Campus Recycling, Surplus Property and UHDS are working together to collect donations from residence halls. Shifts are available for collection (joining staff on trucks to collect recyclables and donated items from halls) and sorting (receiving and sorting donated items at the fairgrounds).
• When: Various shifts are offered between 8am and 9pm, June 10-19th.
• Where: Collection shifts depart from the surplus warehouse (644 SW 13th St.) and sorting shifts are hosted at Benton County Fairgrounds (110 SW 53rd St.).

As you know, graduating seniors are required to take final examinations during the regularly scheduled Final Examination Week of Spring Term. However, because actual diplomas are distributed to eligible graduation applicants at Commencement on Saturday, June 15, 2019, Oregon State University must adhere to the following procedures for clearing Spring Term degree candidates.

Specific documentation about how to submit preliminary grades is sent to faculty when grading opens on Monday, May 6th. If you have questions regarding the preliminary grades policy, please contactgradingquestions@oregonstate.edu in the Office of the Registrar.

Procedures for Spring Degree Candidates

Commencement 2019

1. Monday, May 6, 2019– “Preliminary” grade rosters are sent to instructors via email from gradingquestions@oregonstate.edu. The email will include attached pdf files outlining the grading process and the instructor’s student roster.
2. Monday, May 13, 2019– Preliminary grades are due by noon. Grades should reflect the anticipated final grade. A preliminary grade of “I” (or any non-passing grade) will prevent releasing a student’s diploma at commencement.
3. Tuesday, May 14, 2019– Preliminary degree review process begins for baccalaureate degrees. Coordination with the Graduate School for master’s and doctoral degree review begins.
4. Tuesday, May 28, 2019– Students who are definitively ineligible or potentially ineligible based on university graduation requirements, college/school requirements, or departmental graduation requirements (guided by Head Advisors) are notified.
5. Finals Week – Faculty should upload final grades as soon as possible for degree candidates with a final grade of D, F, N, or I/GRADE. Unless a final grade has been submitted, the decision for diploma distribution is based on the preliminary grades submitted.
6. Saturday, June 15, 2019- Baccalaureate degree candidates with degree deficiencies may participate in commencement, but will not receive their diploma.
