Job SummaryThis recruitment will be used to fill one full-time Administrative Program Specialist: Graduate Programs Manager position for the College of Health at Oregon State University (OSU). This position provides primary program and project administration for the doctoral and doctoral-track programs in the three schools: School of Human Development and Family Sciences, School of Nutrition and Public Health, and the School of Exercise and Sport Science of the College of Health. Once students are admitted by the Director of Graduate Recruitment and Admissions, this position supports students, program directors, and school heads throughout students’ program of study through administration of graduate programs in the college including program management, graduate student services, student record, program enrollment records, hiring and processing of graduate assistants.

What We RequireTwo years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR an equivalent combination of training and experience. One year of postsecondary education may be substituted for up to one year of the experience.
What You Will NeedThis position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
What We Would Like You to HaveExperience managing complex tasks including providing administrative support and program coordination. Professional and effective communication skills and the ability to work with a diverse group of individuals. Ability to maintain confidentiality regarding sensitive information. Demonstrated ability to plan, implement, evaluate, and make critical judgments. Ability to make thoughtful independent decisions and act. Demonstrated ability to deal successfully with a fast pace, multiple tasks, and shifting priorities with constant interruptions. Training and/or experience in operations of computer and software applications (e.g., MS Word, Excel, Access, Internet). Training and/or experience in operations of Banner, CORE, Data Warehouse, OnBase and an advanced knowledge of Excel.
Working Conditions / Work SchedulePrimarily, the work will be in a typical office environment. For some of the graduate student support events, there may be some travel off campus and may be held in non-standard hours (i.e. early evening).
