Application and Enforcement of Official Document Admissions Holds

  1. Admission letters must include a statement that official transcripts/diplomas and test scores are required in order to enroll in the first term
  2. First term of Attendance
    • a. For OSU Direct students, the official document hold is set to be effective one month after the first term of attendance
        • This permits registration without hold for the first term, but prevents second term of enrollment.
        • This prevents registration for the first term of attendance
        • In practice, this forces these students to meet with International Admissions during document check-in, where they must be personally informed of the official document requirement.
        • b. For INTO OSU students, the hold is set to be effective prior to the first term of attendance
          • This prevents registration for the first term of attendance
          • In practice, this forces these students to meet with International Admissions during document check-in, where they must be personally informed of the official document requirement.
          • For those that cannot provide the official documents, the hold should be moved a month out to prevent second term registration.
      • Second Term of Attendance
        • a. For both student types the hold forces the student to talk with International Admissions about the hold. This conversation is more serious than the first and should discuss the requirement of providing the document and the consequences of not providing it by the third term registration.
          • Following this conversation, the hold can be moved a month after second term registration
      • Third Term of Attendance
        • a. For both student types the hold once again forces the student to talk with International Admissions.
          • Student must provide official documents or;
          • Student must provide evidence that the documents are being sent (tracking number, email from issuing institution, etc.)
            • Set Hold one week after registration and follow up individually
          • Otherwise, student may not register.
      • If after the above steps have been exhausted, any student wishing to elevate the concern should be advised to submit a Registration and/or International Admissions Appeal Form
      • Remember to always look into the student’s individual situation, and be lenient when it is a language student who has not yet entered the academic portion of their program.
      • Please keep notes of individual student conversations on the Application page Notes field in Salesforce.
