TRAVELACCOMMODATIONREIMBURSEMENT

Location

Oregon State University is located in Corvallis, Oregon, a 90-minute drive south of Portland and 45 minutes north of Eugene.

Parking

You will be able to park your car in the HGI complimentary parking lot all weekend. You will not need a car for the rest of the weekend; Oregon State University and LaSells Stewart Conference Center are a short, 2 minute walk from the hotel.

Driving

Carpooling is encouraged if the driving distance is reasonable. We will provide a list of all registered students, emails and institutions after registration closes to help facilitate this process. A Facebook group is also available to help connect with other conference participants.

From California: Most drivers coming from California will need to cross Siskiyou Pass, also known as Siskiyou Summit, which is the highest elevation on I-5 and is just north of the California/Oregon border. There is the risk that there will be much snow on the pass or that the pass will even be closed. Check travel sites like ODOT often to monitor the status of the pass and other passes/snow-zones before the trip (Canyon Creek Pass, Sexton Mountain Pass). We highly recommend that those coming from the San Francisco area fly to Portland PDX. (See Flying)

From Eastern Washington/Oregon: If you are driving through the Columbia Gorge, we urge you to exercise caution as the bridges and roads can to be icy at this time of year. Check tripcheckers like ODOT often.

Winter driving: It is possible that there will be snow or fog on the mountain passes, or ice or snow in the Columbia Gorge. The weather is not predictable, but January is winter and sometimes there is bad weather and you should always prepare for that. In “winter driving conditions”, chains are required by law to be at least in the car even if they are not needed. We recommend you bring some food and water just in case you get stuck. If the weather should turn nasty during the conference, we may recommend that you leave early or stay an extra night to avoid driving in those regions after dark.

Flying

Portland International Airport (PDX) is the nearest international airport, approximately 90 miles from Corvallis. PDX is served by most major airlines.

From California: It is most convenient to fly into Portland PDX. Currently flights are very affordable and you should be able to get funding either through your department or APS. Below is a sample flight plan obtained by using google flights. If you are coming from central California or the bay area, flying is recommended to avoid rough driving conditions and to maximize your time at the conference. If you have already found a round-trip flight for <$225, particularly one that allows you to arrive before 1PM on Jan 15, go ahead and purchase the flight, and let us know!

From Washington: If you are coming from Washington, it may be easier to drive. However, flights from Seattle to PDX are still fairly affordable and very frequent so there are lots of options. If you prefer to fly, please book your flight so that you arrive around or before 1 PM, and let us know!

Getting from the Airport:

A Provided Shuttle will be available leaving at 11AM and 12PM and 1PM to take you from PDX to the Hilton Hotel. Please contact us when booking your flight so that we have an accurate headcount for seating. We are also providing a return shuttle to PDX at the conclusion of the conference (the conference should end around 1:30).  Shuttles will be leaving the Hilton at 12:30 PM for earlier flights that have already been booked (flights leaving about 3:30-5PM) and 2 PM. A shuttle to Eugene will also available if needed at 2PM. Try to book flights from PDX for after 5PM in case traffic is bad.

CATCHING THE PROVIDED SHUTTLE

PDX: When your plane arrives and have picked up your bag from the baggage claim, if you have arrived before the first scheduled shuttle (11 AM), a CUWIP conference representative wearing orange to greet you and escort you to the arriving shuttle. He meet you at Petite Provence PDX as indicated by the red star on the map below. For arrivals waiting for subsequent shuttles (12 PM and 1 PM), the representative will wait at Petite Provence PDX to greet and wait with them for the shuttle.

Should you prefer to make your own way to/from the OSU campus, alternate transportation information is provided below.

Car Rentals are available at PDX and can be found by going to PDX Ground Transportation.

HUT Shuttle provides service from PDX and will take you directly to the Hilton Garden Inn. Reservations are required and can be made online at www.hutshuttle.com or by calling 888-257-0126. If you prefer to take the HUT Shuttle, please book your flight so that you can make the 10:45 or 12:45 shuttle to allow ample time for registration and participating in the tours of local labs and facilities.

Please contact us if you have any concerns with making it to Corvallis, from PDX, in time for the lab tours.

The Eugene Airport (EUG) is located 45 miles South of Corvallis. You can make convenient connections regionally to Seattle, San Francisco, Denver and other locations. However, many of these actually go through Portland PDX to get to Eugene, so typically it is much more convenient to just fly to Portland.

A Provided Shuttle will be available leaving at 1PM to take you from EUG to the Hilton Hotel. Please contact us when booking your flight so that we have an accurate headcount for seating.

CATCHING THE PROVIDED SHUTTLE

EUG: There will be one shuttle arriving at 1 PM. The conference representative/driver will be wearing orange and will pick up arrivals at the entrance of the airport (the red star on the map below).
