TRAVEL • ACCOMMODATION • REIMBURSEMENT
Accommodation is at the Hilton Garden Inn (HGI), right across the street from the conference venue. We will make reservations for you for Friday and Saturday nights.
We have assigned students to rooms with 2-3 occupancy to keep costs down. We have accommodated the room mate requests you made, and grouped students from the same school together where possible. If you have questions, please email the cuwip address.
Rooms have 2 queen beds. It is not possible for the hotel to supply additional roll-away beds or cots. Please plan to bring a sleeping bag with you if you and your room mate prefer sharing a queen bed in that way. We hope you’ll have fun getting to know new people if you find yourself in a room with people you have not yet met – think of them as new friends and potential colleagues!
HGI check-in and check-out: The HGI will allow special early check-in at 12 noon on Friday January 15, 2016. If you arrive here much earlier than that, you can store your bags in the Oregon State University Physics Department, Room 379. Check-out time at the HGI is 12 pm. Please check out before you come to the conference on Sunday and you can store your bags at the HGI front desk until your departure.
Meals: The HGI has a full-service restaurant, but you will be billed for any meals you choose to have here. The CUWiP will cater dinner at LaSells Stewart Center on Friday and Saturday, breakfast and lunch on Saturday and Sunday at LaSells Stewart Center. The dinners and lunches are official conference events, and you are expected to attend. Breakfast will also be provided at LaSells on Saturday and Sunday, but it is optional, so you can get breakfast at the HGI if you prefer (but you cannot claim it as travel reimbursement).
Getting to the conference: LaSells Stewart Center is across the Street from the HGI, less than 1 minute walking time.
Parking: There is ample, free, parking available at the Hilton Garden Inn.
Shuttles: The CUWiP conference will be supplying some shuttles from PDX and EUG airports that will deliver you to the HGI on Friday, and will leave from HGI on Sunday after lunch. Please note that the commercial HUT SHUTTLE service from Corvallis to PDX also uses the HGI as a terminus. If your schedule does not fit the CUWiP-supplied shuttles, HUT is an additional possibility (costs $49 one way; leaves every 2 hours). It is better to use the CUWiP-supplied shuttles because they will be quicker (no stops) and are likely be better suited to your schedules.
