A reasonable and effective job description is the foundation of any organization’s growth, expansion, and maintenance of administrative efficiency. We all know that every position has its job responsibilities, and every responsibility has scope. Therefore, a good job description is to explain the scope of the duty and responsibilities of the position to the staff just right. The more advantage is by the good job description is people can realize who or where they can connect or cooperate when they face the work which beyond their power or responsibilities of their position. In general, we can say that an effective job description can be like a specification of different positions. I believe in the future, success will only belong to better organizations. For an excellent organization, having a good management system will be the core key. So, a good job description is the prerequisite to complete it because everyone can perform their duties and do their best in the field they are responsible for only under a clear job system and responsibilities. This could avoid the problems of ineffective, irresponsible persons and the uneven distribution of talents caused by management confusion.
To me, I have a deep understanding of the unclear description of job functions, and I will describe that negative example here. I once joined a non-profit organization before. Although they have a description of their functions, the content is not detailed and there are conflicting parts that can be found in some places. I also found that when they described the different positions and department descriptions, it was based on the words of the predecessors then continued to transmit instead of having a clear description of the rules and regulations of the job. However, even with such a simple job description, the management still feels that it is too complicated and does not maintain execution. When encountering a problem or task, it is not divided according to different functional departments but to people who trust by the management or employees who are willing to perform. Finally, not only is the coordination between the various departments confused, but the members of each department are not even sure which department they belong to. Everyone is vying to do easy and profitable work, and no one would take the difficult work that requires responsibility. In the end, there is an increase in the number of members who just do nothing and people who shirking each other’s responsibilities when they face conflict. In the end, everyone ignored the job description and the constitution, which hurt the entire organization and almost paralyzed it.
My experiences show me that how important to have a good job description. Which is the guarantee of any team and organization’s system and also the basis of efficiency.
