Office Space and Computers

Instructor office space is currently located on the 2nd, 3rd, 4th and 5th floors of the International Living Learning Center and in Cascade Hall 119. We aim to provide full-time staff with individual desks and computers. Term-to-term or part-time staff may be required to share desks and office space. Contact Angie Portz for your office assignment and furniture needs; for computer issues contact the Community Network at 737-8787, option 2.

Instructors have Exchange email accounts and are automatically members of the ‘INTO OSU Instructors’ and ‘INTO OSU All’ mailing lists. Please check your email regularly, as it is the normal channel of communication from the front office and the administration. Instructor email addresses are normally in the form: firstname.lastname@oregonstate.edu.

Exchange accounts are automatically accessible from your office computer, but are also accessible from any Internet computer by going to http://exmail.oregonstate.edu and selecting Exchange or by going to http://webmail.oregonstate.edu. If you use the web-based mail client, you’ll need to enter your domain (cn) and user name separated by a slash (e.g., cn/firstname.lastname) and then your password.

Instructors also have access to the OSU-INTO server, which includes the OSU-INTO share drive and 1 GB of personal storage space which is accessible only to you. The OSU-INTO server is accessible from both on-campus and off-campus machines. For details on how to set up access from home, call 737-8787, option 1.

All instructors have access to OSU centralized computer services via their ONID accounts. An ONID account provides a file storage area (which is accessible from anywhere via SSH) and also web hosting. (For other details about ONID, see http://onid.oregonstate.edu/.) An ONID account includes an email address, but please note that this email account is NOT the primary means of intra-INTO OSU communication. Most staff very rarely receive any mail in their ONID accounts and very rarely check their ONID mail. Instead they setup their ONID account so that any message that does go there will be automatically forwarded their Exchange email account.

Employee Online Services

All faculty have access to Employee Online Services, a web interface for grade entry, dissemination of official class lists and a host of other infrastructure services. Class Lists

The list of students currently enrolled in your class is always available in a number of ways:

  1. Via a Class Detail request in the Faculty and advisor section of Employee Online Services.
  2. By going to the course Canvas site.
  3. Via lists posted on the server each term following the end of the add and drop period.

Please check your class lists often and allow only officially registered students to attend your class at any time. If a student’s name is not on your class list, refer the student to Academic Support; please do not allow the student to sit in unless requested to do so by one of the Program Managers.

Equipment and Supplies

A wide range of office supplies are available. The current supplies cabinet is on the corridor in the main office area on the first floor of the ILLC. Contact the Welcome Desk at into@oregonstate.edu for questions about supplies or to make a special request.

All classrooms in normal use have Hitachi Starboards, computers, video projection, and loudspeakers. Login to either mac or windows using your ONID name and password. You may also be able to use your Community Network identity to log in. For help and support with Hitachi Starboards and classroom technology, please contact your supervisor or the Technology and Learning Center Advisor in the first instance.  Serious technical problems with classroom equipment that cannot be addressed in this way should be directed to instructional media services (not Community Network). The telephone in each classroom will connect you directly to instructional media technical support.

Some OSU classrooms outside INTO OSU buildings are equipped with locking technology consoles. In order to assess the computer and other equipment locked inside the consoles, you must contact Instructional Media at 737-2121 and request an access code. IM also provides training on how to use the technology console. All you need to do is appear in Kidder Hall, room 109 and ask for help.

Some audio and video equipment is available in the INTO Learning Center and can be borrowed for classroom use. Video cameras must be reserved beforehand by contacting the LC managers. You’ll need to tell the LC staff what you wish to borrow, when you’d like to borrow it, and when you’ll be picking it up and returning it. The equipment will be ready for you to pick up immediately prior to your class. Students are not allowed to pick up cameras or projectors, with or without a note from you. Planning ahead is vital to success.

Students may NOT check out video cameras or laptops from the LC. Students may, however, check out a wide range of electronic media equipment from Student Media Services, which is located on the main floor of the Valley Library.

Use of the Telephone

There is one landline telephone in each of the instructor offices for general use.  Associate Program Managers also have a phone on their desk. To make local calls, dial “9” for an outside line. For campus calls use the five digit extensions. To make long distance calls, you will need to be assigned a 7-digit personal identification code. Such calls must be made only for official business. See Lois to have a code assigned. For domestic long distance dial as follows:

9 + 1 + area code + number + your long distance code

Ordering and Using Textbooks and Course Packets

Textbook orders are the responsibility of the Program Managers with input from course instructors. Typically, the Program Managers work with individual instructors to ensure that textbooks are appropriate to the objectives of each course, are horizontally consistent across multiple sections and serially consistent from level to level in each skill area. Normal text selections are included in the curriculum documents of each program.

Instructors can often order desk copies directly from publishers, usually at no cost. Program Managers may also have some copies of texts that instructors can borrow for examination or use until a desk copy is received. If necessary, instructors can purchase text copies from the OSU bookstore for use until a desk copy is received and then return the new desk copy to the bookstore for a full refund.

Ordering texts for special programs is generally done quite differently, and in these cases, instructors should look to their Program Director for information.

Teachers can and do, of course, use materials other than textbooks and may also adapt whatever materials are at hand to their own styles. No text can be as appropriate to a particular group as the materials designed or chosen especially for them by the instructor. INTO OSU teachers normally create a lot of supplemental materials and are usually quite willing to share these. An easy way to share is by placing copies onto the server.

At the same time, the overuse of non-textbook materials can raise issues in students’ minds. Textbooks are expensive; when students are required to invest in one they have a legitimate expectation that it will be used. If you are not going to use a book to any great extent, it is best to so inform students at the beginning of the term. Remember, also, that great reliance of photocopied materials is a financial burden for INTO OSU and may be a violation of copyright law.

A better option for instructors is to produce course packets, either to supplement or to replace a textbook. There is a long established and relatively simple system for doing this. Instructors collect their materials and send them to OSU Printing along with a completed Course Packet Request form. Printing then produces the packets, sends the originals back to the instructor and passes the completed packets on to the OSU Bookstore where they are shelved with other INTO OSU textbooks. Students purchase the packets for a relatively low price and INTO OSU is not billed for printing costs. Note that OSU Printing will NOT print your materials if they feel there is a copyright problem. The course packet system is an excellent way to try out instructor-produced materials in preparation for possible commercial publication.

Class Schedule and Room Assignments

The easiest way to see room and time information is to go to the online OSU class schedule: http://catalog.oregonstate.edu/ For questions about your schedule see your Program Manager. Changes to the schedule are generally communicated by email to the instructors involved.

Classes generally begin on the hour and last either 50 minutes or one hour and fifty minutes. Some instructors may arrange a short break in the middle of the longer classes. Some three hour per week meet twice a week for an hour and twenty minutes. In this case, class may start on the half hours. Although most classes are scheduled into rooms controlled by INTO OSU, some may be located in various buildings around campus, sometimes at quite a distance from each other.

Students who complain that the 10-minute break between classes is insufficient should receive sympathy, but should be warned that this is the reality of life for all OSU students. Instructors can help here by making sure that they end their classes on time.

If you have problems with your room, speak initially to the Program Management team or your supervisor.

If you are unable to teach your class

Your point of contact for an unexpected absence is your supervisor in the first instance.

All absences from assigned classes should be arranged through the Program Management team on the relevant program.  Requests for leave days during teaching time should be submitted as far in advance as possible to your supervisor.

OSU employment policies require you to declare a day of leave for any day on which you are not present. See the Faculty Appointments section below.

Students’ cell phones, electronic devices and personal property in general

It is a general rule that instructors are not allowed to take or hold a student’s personal property.

A cell phone, laptop or iPad is considered personal property and, even though it may be extremely frustrating, no employee should be taking or holding any students’ personal property.

If a student is using a cell phone or other electronic device in class, the instructor should first identify whether the usage is legitimate e.g. at appropriate times as a dictionary or thesaurus.  Instructors may want to consider making it clear to students during the early stages of a class when they may and may not use cell phones and for which activities.  If a student is using their cell phone in class inappropriately, the instructor should give an initial warning to put the phone away and should explain clearly the consequences of a second violation.  If the cell phone use continues, there are various alternatives that an instructor can follow up with:

  • If a quiz or exam is in progress the student can have points deducted or be given a zero
  • The student may receive no credit for the assignment they are working on in class
  • The student may receive no participation points for the day
  • The student can be asked to leave the class

If any of these penalties are to be applied, the penalty must have been clearly communicated to the student before the violation that led to the penalty.

During assessments, all electronic devices should be switched off and placed in bags on the floor.  This is vital in ensuring test security, particularly with regard to listening tests.

Any incident of this type with a student in class should be reported to Emily Lawton, the Student Care and Conduct Coordinator.  Please email Emily with the name of the student, the details of the class, and a brief description of the incident.

Appropriate Dress and Behavior

INTO OSU instructors should be professional in appearance and behavior in the workplace. This requires an awareness of and a respect for the values of individuals who may come from different cultures and backgrounds.

Term and Session Calendars

Each instructor should receive a copy of the current term calendars. These list a number of dates that instructors need to know, regarding testing, meetings, grades, etc. There may be additions or corrections to the calendar during the term.

Kitchens and Break Rooms

Kitchens on all five floors in the ILLC are shared between staff and students.  In addition, there is a small fridge and kitchen for faculty use in University Plaza 150 and Cascade Hall 119. While there is some cleaning of these areas, in general, each person should clean up after him or herself.  Please help keep fridges in socially acceptable condition.

There is a staff-only fridge and kitchen on the 1st floor of the ILLC which is open to all staff.
