The OSU Extension web upgrade is a long-term, phased project that involves many people in OSU Extension and throughout OSU. Collaboration and communication are crucial to a successful project. Here’s a brief overview of key roles and responsibilities. Also for specifics responsibilities between county, program, content groups and EESC see OSU Extension website roles.

Extension and Experiment Station Communications (EESC) +1

The EESC project team is responsible for recommending web strategies; creating and managing a robust digital framework for OSU Extension, including CRM integration; and managing the upgrade project (including timeline, development, and communication). EESC will also lead collaborative development of a customer-focused web content strategy, and facilitate content strategy planning for content teams.

  • EESC director Jennifer Alexander is project director and liaison to OSU Extension leadership.
  • EESC’s web and content strategy team–Bryan Mayjor, Amerie Lommen, Michele Scheib, and Tamara Hill-Tanquist–has day-to-day responsibility for project management and web development. They work with other colleagues in EESC, collaborate with content team leaders, partner with Victor Villegas to provide training, and beyond as needed.
  • Our “+1” and honorary EESC-er, Lucas Turpin, Director of IT for the College of Agricultural Sciences, provides leadership to support strategic and effective use of technology and data within Extension’s overall digital strategy and this project.

Thank you to Jeff Hino, who assisted with project leadership, and coordinated the project discovery phase and steering committee, before retiring winter 2017.

Outreach & Engagement executive team, Extension leadership

Vice Provost Scott Reed and Associate Provost Lindsey Shirley support the project and have decision authority for approving strategy recommendations. They have approved a set of essential commitments and criteria that will guide decisions about strategies, technology, features, and design.

Extension Collaborative members (program leaders and regional directors) have a responsibility to understand the project goals, scope, and timeline; communicate about the project within their networks; and encourage faculty and staff to collaborate with the project team as appropriate.

Program areas provide a content strategy for their program, manage content teams, use the CRM to increase statewide engagement — and coordinate, create and manage content in the new framework.

Content teams

Program- and topic-based content teams (working groups) help oversee and prioritize content for specific topics. Some groups may span traditional geographic or program lines. Extension Collaborative members will be important advisers in this process. Key responsibilities:

  • Evaluate and organize existing content (content on program, county sites, etc.)
  • Prioritize content and identify gaps
  • Revise and create new content (as needed)
  • Enter content in new web framework (could include a dedicated website editor)
  • Ongoing:
    • Manage content on Extension web presence (assess need, prioritize, create/revise, publish, maintain, retire)
    • Collaborate to develop content strategy (across programs and with EESC)

Content team leaders are the single point of contact and liaison between a content team and EESC.

OSU Extension site managers, faculty and staff

Current site managers will serve as direct points of contact with content teams and the project team as we prepare each existing independent site in the OSU Extension web family for the next phase. For some sites, this will involve discussion of recommended options for existing content and future site management (see Strategies at a Glance).

OSU Extension faculty and staff have opportunities to serve on content teams and provide feedback and input on the project through direct requests (e.g., employee survey) and ongoing conversation (e.g., webinars and questions to content teams and the project team). Key responsibilities:

  • Focus on engagement and local relevant content
  • Create content, coordinated through program/topic teams
  • Be the open door to all OSU
  • Document interactions in CRM
  • Use CRM to increase local engagement

OSU technology colleagues

Victor Villegas and the Extension Computing Technology Unit (ECTU) provide technical support and training to OSU Extension faculty and staff, including Drupal help. As the project continues, training will shift to support Extension faculty and staff in working in the new content management system rather than on independent websites.

OSU’s Web and Mobile Services (WAMS) maintains the infrastructure and servers that support all OSU websites. They also offer web publishing, content management services, and support and training to the OSU Community.

The College of Ag Sciences web team manages the AgSci homepage, content, and design. They are also responsible for developing a network of websites for AgSci administrative units, departments, research-only branch experiment stations, and many centers and institutes. The team supports unit-level site coordinators and works closely with WAMS, Information Services, and EESC to make sure the AgSci family of websites is interconnected with OSU and Extension sites.

The EESC project team works closely with each of these teams.

Steering committee

The project steering committee was active from February through June 2016. Members served as advisers, connectors, and champions through the project discovery/research and strategy development phases. They remain on call for ad hoc feedback and advice to the project team.
