Changes Coming

  • Budget Reporting on the Web also known as Budget Reports by Index

The Office of Budget and Fiscal Planning will be decommissioning the Budget Reporting on the Web System as of July 1, 2016.  Please make sure all staff who use this system are notified.  All OSU Employees should now be accessing budget information using CORE.

  • BI Query – FIS Data Warehouse

  The BI Query-FIS Data Warehouse will sunset on December 31, 2016. Notices will be send to   FIS users regarding this change.

New Features

It was asked that users have the ability to export the charts in the uDashboards.  This feature is now available, and the menu icon is located in the lower right hand corner of the chart.   three lines icon

udashboardMenuBy selecting the icon, the full menu will be made available. Select the downward pointing arrow to begin the download of the dashboard.

When the download button is selected a menu opens allowing you to determine the size and whether or not to include data labels.

When you select Download, depending on the browser you are using, it will prompt you to either open or save the file, or it will save it in the Downloads folder of your system. The document format is a .png file type.

Data Quality Issue

An issue called to our attention, indicates that some advisor names are not appearing to be correctly reported. The information in CORE reports advisor names as they are recorded in Banner on the SGAADVR form.

According to the Registrar’s Office, it is the responsibility of each college to update their advisors.  Some colleges assign Advisors by term, but other colleges assign advisors to students forever (term is 999999).  When students leave or graduate, colleges need to update the college’s advisor records.  However, if a student returns as a graduate student, their undergraduate advisor’s name will continue to appear.

Graduate students do not have advisors assigned in the Banner SGAADVR form.  The Graduate School uses a different Banner form to record the student’s committee members.  However, the Graduate School has informed us that many committee review members are not assigned until the final exam.  Therefore, they have advised us that the data cannot be reliably used at this time.

For reporting purposes, we are adding a new disclaimer to the bottom of reports that have the advisor name, and making a change so all graduate students show a message rather than an advisor name.  These updates should be finished late today.

New Reports

The reports listed below were implemented this week:

  • VAL2769 Detail Codes by FOPAL Lookup – Report allows you to enter various FOPAL elements (fund / org / program / etc) to look up the associated detail codes
  • HRS0060 Classified Staff Audit – Report is for Business Centers use to audit the set up of classified staff and replaces some existing BI Query audit reports
  • HRS0061 IPEDS Audit – Report is for Business Centers use to audit positions for IPEDS data and replaces some existing BI Query audit reports
  • STU0311 Students no Registered with Financial Holds – This was requested by some colleges to report on students who are not registered for the select term who have financial holds on their student accounts
  • ANA0152 Campus Inter-dependency Matrix Summary by Course Offering College – Report is a matrix showing a summary of credit hour distribution by the course college.  Course college is defined as the college offering the course.  There are similar reports by the student’s primary college (which Is defined as the primary college a student is assigned)

Report Changes

The following reports have had changes made this week:

  • Added ‘Primary’ to many of the enrollment dashboards to clarify that this is the student’s PRIMARY campus / college
  • FIN1857 Operating Statement by Index– Added parameter for period
  • HRS1551 Faculty Salaries by College w/parameters – Added option to select timesheet org or home org and added appointment basis
  • FIN1869  Expense Crosstab by Index– Added message when there is no data
  • VAL2753 Detail Codes – Added an additional FOPAL elements to report display
  • FIN2300 Open Encumbrances by Index – Fixed search issue
  • VAL2768 Vendor ID Lookup – Added vendor remit to address

CORE Features: Index Search

There has been a number of questions about Index balances this week.  There are some simple ways to get an Index balance. Perhaps the easiest method is using the Index Search function at the bottom of the uReports page.  Located in the lowest third of the uReports home page you will find the following Index Search box. The Fiscal Year is changeable and the Activity Code is optional. The results will be the balance for the Index you entered. Index Search

 

 

 

 

 

Another option is to use the Search Box at the top of the screen. Enter the Index and click Search.

The result will be a list of Indexes with their associated Fund, Org and Program parameters. Selecting one one of the parameters results in additional information, along with some reports.

CORE Reports-Index

 

 

Should you need more detailed information (such as transactions), you can use the Search Box.  A search using the word “transactions” produces a list of 26 reports with “transactions” in the title, description or keyword.  A search on “index” lists 91 reports.  The reports are listed in popularity order (most popular at the top).

New Reports

This week, the following new reports produced in the last two weeks were released for use:

  • BIC 2916 CORE Security Defaults – Lists the default CORE security permissions by position title
  • HRS0062 FLSA Audit – For use by Business Centers to audit for FLSA position issues and replaces the HR-DW audit reports
  • ANA0213 Generated Credit Hours by Schedule (BETA) – Provides information about generated credit hours by course schedule (day of week)

Report Changes

Modifications have been made the following reports during the last 2 weeks:

  • ADV0351 Students Eligible to Enroll, Not Registered– Added last term at level
  • PAY1352 Payroll by Finance Org for Fiscal Year by Period– Fixes, column sorts
  • FIN1916 Pending Docs for an Org – Fixed issue with new rule code parameter
  • HRS0056  Leave Audit – Fixed issue with message 18 & 19
  • HRS0002 My Employee Profile – Fixed link so supervisors can view their direct reports,  and fixed a link error in salary so users can view payroll expenses
  • VAL2753 Val Detail Codes – Added new columns for FOPAL elements (will be done today)
  • FIN2851 Transactions by Business Center Originator– Fixed report error
  • RES1207 My Faculty Research activity by Grant Code– Updated primary PI field
  • FIN1907 IDoc detail – Added document reference number
  • FIN1909 Transaction Details by Index and Account –  Added column sort option
  • FIN1911 Transaction Details by Vendor – Added ability to look up vendor by ID

CORE Features

Did you know you can search for a person by name, ID, and now, their ONID? It is simple and  gives you immediately the information you are seeking for an employee or student.

At the top of the screen find the search box, enter a name (last name; first name (careful, as you may get a lot of results if you search by first name only);  last name, first name; ONID; ID.  You can use wildcards (%) in the search box as well, i.e. Lind%.CORE Search Box

 

When you click Search (gray box) a list will appear.  The first 10 names, based on your search parameter(s), will display with a link at the bottom to Go To List.  The results will have a number to show the number of people found meeting your parameter(s).  For example, searching “Lindsley” results in 15 records.  The screen will also disply the person’s ID (not shown here). When you search by ID or ONID, it will result in only a single record since these parameters are unique to one person only.

By clicking on one of the names, a new screen will appear providing information including office location, job and position titles, grants (if applicable) and more. (Screen shot of Person Detail omitted.)

Students will appear, but will have no Office Address, Position, Employment data, etc.  Terminated employees will also be listed (if record is still available in Banner) but will have no employment data.

There are links to several reports (shown above) including a report of CORE security, Course List (if an Instructor), Employee Lists, Employee Profile, Grants, Student Schedule, and Student Profile.  Of course, you must have the proper security access to run the listed reports.

New Reports

The following reports have been implemented this week:

  • ADV0500 Student Athletes List – A report for advisors to identify student athletes by college and sport
  • BIC5304 User Demographics Dashboard – A dashboard that shows user statistics and demographics (active vs. terminated users), years of service to OSU, etc.
  • AAA0462 Index Statistics – This is a dashboard-type report that allows you to enter a list of indexes which results in a table of current fiscal year balances including budget, YTD expense, encumbrances and available balance, and a graph of expenses for the past 10 years.

Report Changes

This week, changes have been made to the following reports:

  • PAY1352 Payroll by Finance Org for Fiscal Year by Period –  Corrected an issue with the months
  • Enrollment Dashboards – Corrected an issue with the percentages in the drill-through reports
  • FIN1916 Pending Docs for an Org – Added a new parameter for rule codes
  • ADV0351 Students Eligible to Enroll–Not Registered – Added last term of attendance for student
